Overview of business processes suitable for automation

Does this sound familiar?

Which process is taking up too much time?

Most organisations have processes that deserve digitisation but have not got around to it yet. Do any of these situations sound familiar?

  • Field service and work orders: on-site workers fill out paper work orders that are then entered manually into the back office system.
  • Inspections and checklists: quality checks on paper or in Excel, without central reporting or a historical overview.
  • Approval flows: expense claims, leave requests or documents passed around by email waiting for a signature.
  • Reporting and progress: employees report by phone or email; the manager has no real-time overview.
  • Logistics and scheduling: rosters and assignments distributed via messaging groups or printed lists.

Hosting and security

Built on Google Cloud Run

We host by default on Google Cloud Run: a serverless platform that scales automatically, is GDPR-compliant in Europe and costs nothing when not in use. There are no servers for you to manage or provision. The Next App has been a Google Cloud partner for over 10 years and manages the hosting environment entirely on your behalf.

What does digitisation cost?

A first version of a process-focused app typically costs €15,000 to €50,000, depending on the number of screens, user roles and system integrations. We work in phases — each phase has its own budget and deliverable, so you never commit to the full amount upfront.

Veelgestelde vragen

Veelgestelde vragen over Business process automation

What is business process automation with an app?

Process automation means replacing a manual or paper-based workflow with a digital tool: an app on your employees' phones or tablets. Instead of paper work orders, Excel checklists or reports sent by email, everything is captured directly in the app and synced to your back office.

The result: fewer errors, less administrative burden and a real-time overview for managers and planners.

Which processes are suitable for an app?

Processes that are well-suited for automation share a few characteristics: they are repeated regularly, based on fixed steps or forms, and produce data that needs to go somewhere.

Concrete examples: field service and work order management, inspections and quality checks, approval flows for documents or expense claims, time tracking for field staff, and logistics scheduling and status updates.

Can the app work offline?

Yes. We build Flutter apps with local data storage that work fully without an internet connection. The app synchronises automatically once a connection is restored. This is essential for employees working in locations with poor coverage: construction sites, warehouses, production floors or remote outdoor locations.

Can the app connect to our ERP or CRM?

Yes. We have extensive experience integrating apps with business software via APIs. If your system has a REST or GraphQL API, we can connect to it. If there is no API available, we will explore the best alternative approach together: export/import, a database connection or a middleware layer.

How secure is the data on Google Cloud?

We host on Google Cloud Run in European data centres (Frankfurt). Data is encrypted in transit and at rest. Google Cloud is certified for ISO 27001 and SOC 2, and complies with GDPR requirements. For apps handling sensitive data (personal, medical or financial information), we configure the environment with additional access controls and audit logging.

What does it cost and how long does it take?

A first version of a process app typically costs €15,000 to €50,000, depending on the number of screens, user roles and integrations. A simple app can go live in 2 to 3 months. A fully-featured app with multiple roles and system integrations takes 4 to 6 months.

We work in phases with their own budget and deliverable. You never commit to the full amount upfront. See all pricing factors on our pricing page.

Who manages the app after launch?

After launch we handle maintenance: OS updates, dependency upgrades, bug fixes and further development. Each quarter we issue an advisory report with recommended work. You decide what to commission — no fixed contract, no obligation.
